The Minimal Digital Filing System for Students (Folders, Naming, Inbox Zero Lite)

A simple folder tree, file-naming rules, and an inbox-zero-lite habit so coursework stops living in Downloads forever.

If your coursework lives in Downloads, WhatsApp “Document from…”, and three differently named copies of the same essay, you do not need a new app. You need a minimal filing system: few folders, strict names, and a weekly empty-out ritual that takes under 15 minutes.

This is for students and solo learners on a laptop or cloud drive (Google Drive, OneDrive, or local Documents). No PKM rabbit holes required.

Design principles (keep these or the system dies)

  1. One home root — everything academic lives under one top folder, e.g. School/ or Uni/
  2. Shallow tree — rarely more than three levels deep
  3. Names sort themselves — dates and course codes first so A–Z order is useful
  4. Inbox is temporary — Downloads and Desktop are staging, not storage
  5. Done means filed — submitting an assignment includes moving the final file to its folder

The folder tree (copy this)

School/
_Inbox/ ← weekly sorting tray (cloud or Documents)
  2026-Fall/
    BIO101/
      01-Lectures/
      02-Readings/
      03-Assignments/
      04-Notes/
      05-Exams/
    HIST210/
      01-Lectures/
      ...
ADMIN/ ← forms, visa, enrollment PDFs
  Archive/
    2025-Spring/
    ...

Why _Inbox with an underscore? It sorts to the top in most file browsers. Why numbered subfolders (01-Lectures)? They stay in teaching order instead of alphabetical chaos (Assignments before Lectures).

Term folder vs course-only: Nest courses under the term (2026-Fall) so next semester starts clean. When the term ends, drag the whole term folder into Archive/.

Use this pattern:

YYYY-MM-DD_CourseCode_ShortTitle_v01.ext

Examples:

  • 2026-10-07_BIO101_Lab3-Report_v02.pdf
  • 2026-09-12_HIST210_Lecture-Notes-Week3.md
  • 2026-11-01_ADMIN_Enrollment-Confirmation.pdf

Rules:

  • Date first (ISO) so sorting by name ≈ sorting by time
  • Course code next — searchable even if the title is vague
  • Version _v01, _v02 — never final_FINAL2
  • Avoid spaces if you sync across tools that break on them; hyphens are fine
  • Keep titles short; the folder already gives context

Quick rename batch (once)

When cleaning Downloads, rename as you move — do not “move now, rename later.” Later never comes.

Inbox Zero Lite (15 minutes, once or twice a week)

Full inbox zero for email is optional. File inbox zero is not.

The ritual

  1. Open School/_Inbox, Desktop, and Downloads
  2. Sort each file into: File / Trash / Action
  3. File → move into the correct course subfolder with a proper name
  4. Trash → delete installers, duplicates, memes saved by accident
  5. Action → if a file needs work this week, put it in the course 03-Assignments (or pin a shortcut) and add one line to your task list — do not leave it in Downloads as a reminder

Stop at 15 minutes. Leftovers stay in _Inbox for next session; the point is a draining habit, not a heroic purge.

What about email attachments?

Download once into _Inbox, file immediately, then delete the attachment from the email client if your storage is tight. Do not keep “the real copy” only inside Gmail.

Where notes and PDFs go

Material Put it here Tip
Lecture slides 01-Lectures Prefer course portal download + rename; don’t rely on the LMS forever
Annotated PDF readings 02-Readings Keep original + annotated as _annotated if needed
Drafts & submissions 03-Assignments Final export stays here after submit
Your own notes 04-Notes One running file per week or per topic — pick one style per course
Past papers / formulas 05-Exams Separate from daily notes so revision is one click

If you take notes in Notion/OneNote, still keep export or PDF submissions in the course folders. Cloud note apps are for thinking; folders are for proof and portability when accounts change.

Desktop and Downloads rules (non-negotiable)

Desktop: only icons for the current deep-work project (max 3 files). Everything else is visual noise.

Downloads: treat as radioactive. If a file is still there after the weekly ritual, it gets deleted or forced into _Inbox with a rename.

Optional automation: browsers can set download location to School/_Inbox so new files land in the sorting tray by default.

Group projects without folder hell

Create:

HIST210/03-Assignments/Group-Essay/
_FROM-TEAM/ ← copies others send you
  WORKING/ ← your active draft
SUBMITTED/ ← what you actually turned in

Never edit inside chat apps. Save a dated copy into _FROM-TEAM, then copy to WORKING before changing anything. Name shared drafts with versions so “who broke the bibliography” is answerable.

Migration plan if you are already drowning

Do not reorganize your entire disk tonight.

  1. Create the new tree empty
  2. Put this term’s active courses only into it
  3. Leave old mess in a folder called To-Sort-Later inside Archive/
  4. Each week, while doing Inbox Zero Lite, migrate 10 old files — or none, if this week is exam-heavy

A clean present beats a perfect past.

Checklist: set up in 30 minutes

  • Create School/_Inbox and term folder
  • Add folders for each current course (01–05)
  • Point browser downloads to _Inbox (optional)
  • Clear Desktop to ≤3 active files
  • Rename and file this week’s assignment
  • Calendar reminder: “File inbox 15m” twice weekly

FAQ

Should I use Google Drive or local folders?

Use whichever you already open daily. The tree and naming matter more than the vendor. If you use both, pick one as source of truth and mirror submissions there.

What about photos of the whiteboard?

Create BIO101/01-Lectures/Captures/ and name 2026-10-07_BIO101_Board-Week5.jpg. Or skip photos and rewrite one clean note — photos without names are landfill.

Is this compatible with PARA or Zettelkasten?

Yes, later. Start with course folders. PARA/PKM on top of chaos just relocates the mess. File by course first for at least one full term.

How do I handle courses with huge video files?

Keep videos in a 01-Lectures/Video/ subfolder or leave them in the LMS if streaming works. Do not clog sync quotas; store large binaries only if you need offline access.

Bottom line

Minimal filing is three habits: one tree, dated names, short weekly empty-out. Apps cannot replace those. Once Downloads stops being your library, every study block starts faster.
